Due to its finite and irreplaceable nature, ‘time’ is by far the most precious resource! In today’s dynamic world, leaders in all industries are constantly looking for ways to increase organizational efficiency by adopting productive practices, leveraging technology, automating processes, or outsourcing tasks with an aim to simply get more done in less time.
Thus, possessing effective time management skills is of critical importance for anyone looking to be successful.
In this article, 4 important steps will be highlighted which leaders can use to aid themselves in developing powerful time management skills and leading their teams with greater efficiency!
Step 1 – Set Clear Objectives:
When it comes to time management, setting clear objectives is essential. It is important to have specific goals in mind so that you can focus your efforts and be as efficient and as effective as possible. Without clear objectives, you and your team may find themselves spinning wheels, being unproductive or wasting valuable resources on redundant tasks and non-value adding activities.
Avoid ambiguity and be as specific as you possibly can when setting objectives and timelines! Of critical importance is to establish clear roles and responsibilities within the organization, as well as the means by which individual and team-based performance will be measured. Ensure there is support for established targets within the organization, by emphasizing to the team the value in achieving them. Reenforce this by establishing an effective communication strategy where all stakeholders recognize the organizational objectives and most importantly acknowledge them.
Step 2 – Organize your Resources:
Essentially the first step allows the second one to follow. By establishing clear goals, the resources requirements associated with achieving organizational targets, be it staff, capital, equipment, or facilities, can be better provisioned for. The key is to document resource commitments and its respective utilization. Ensure it compliments organizational budgets and milestones geared towards achieving established goals.
By organizing your resources, your team will be able to work more efficiently and avoid ineffective tasks. As there are many different ways to achieve this, it may take some experimentation to find the system that works best for your team. While some organizations prefer the use of formalized processes where action logs, performance reviews and audits are used as a means of enhancing accountability and oversight, others due to organizational design or complexity, may adopt a more linear organization design which supports an autonomous approach towards resource management. Regardless, resource use like everything else, needs to be measured in order for it to be effectively managed.
Step 3 – Organize your Tasks:
When you prioritize your time, you’ll be able to prioritize and focus on the most important tasks and address them quickly and efficiently. This ensures you are investing your time in a manner that yields the greatest return. Thus, it is important that everyone within the organization respects this concept and applies it when addressing tasks.
A good practice to adopt is to have all primary and supplementary tasks noted and then associated with one of the following four categories based on its level of importance and urgency.
- Important & Time Sensitive
- Important & Not Time Sensitive
- Low Importance & Time Sensitive
- Low Importance & Not Time Sensitive
This will not only clarify organizational focus it also ensures the most important and time-sensitive tasks are being addressed first, followed by other deliverables that are still important but not as urgent in terms of deadlines for completion. What’s most critical is that less important items are differed not ignored!
Step 4 – Avoid Distractions:
Distractions can be a major obstacle when it comes to time management. When you are trying to focus on a task, distractions can cause you to lose attention and waste valuable time. As a result, various techniques and strategies have been developed which have showcased their ability to help people stay focused and effectively utilize their time when performing tasks.
Establish the right environment. Ensure your teams surroundings are conducive to sustaining concentration on the task being performed. This means finding a suitable location to work as well avoiding individuals who may be disruptive or distracting. Appreciate that while some people prefer to work in a quiet environment such as a library or office, others may prefer a busy cafe where there is music in the background or while commuting from one place to another. The bottom line is…everyone is different and it’s important to recognize what works best for you and your organization.
It is important to acknowledge that procrastination kills productivity; and that by establishing clear and comprehensive schedules, which are detail oriented and determine how much time is to be committed towards performing any specific task, the probability of procrastination materializing and undermining your organizations productivity can be minimized. Leverage the use of Gantt charts and other visual aid tools to help direct the organizations efforts. Incorporate the use of time logs to track the time invested in completing specific projects and tasks so that individual and team-based contributions can be identified.
Avoid the distractions that are commonplace online and on social media. Advise your team to update their availability status online so that interruptions can be avoided when one is engaged on completing a deliverable. If required, adopt the use of social app blockers so that popular platforms such as YouTube, Instagram, Facebook, Twitter and Tik-Tok doesn’t diminish organizational productivity.
Integrate a rewards system which recognizes the commitment, focus and effective use of time you and your team have invested towards accomplishing tasks. This will not only reward productive work, but it will also ensure your team remains motivated and engaged in completing assignments and adding value.
In conclusion, time management is a critical skill for any leader looking to increase efficiency within their organization. In order to develop these skills, it is important to first understand the importance of setting clear goals and organizing your thoughts and tasks based on their respective level of importance. Furthermore, it’s vital that a leader prioritizes organizational commitments and eliminates distractions so that productivity within the organization can be established and sustained.
